Privacy policy
Plainwork builds and runs Lobby, an AI front desk that answers resident phone calls for community management companies. This policy covers plainworkco.com and the Lobby service.
Who we are, and which hat we wear
Two different relationships sit inside this product, and they carry different obligations.
When a management company hires us, their residents' details reach us because that company sent them. We hold and process that data on their behalf and on their instructions. They decide what is collected and how long we keep it within the limits below. If you are a resident and you want your record corrected or removed, your management company is the right first call. Contact us and we will help, but they hold the record.
For this website, and for the business contacts we email about Lobby, we decide what is collected. That part is ours.
What this website collects
Nothing. There are no forms, no sign-up fields, no analytics, and no cookies. Every button here opens your own email client. We do not know you visited.
The page loads two open-source animation libraries from public CDNs (cdnjs and jsDelivr). Loading any file from any server discloses your IP address to that server, which is true of the whole web and is not something we receive or store.
What Lobby collects on a call
When a resident calls a number Lobby answers, we process:
- The phone number the call came from, and the community it belongs to
- Name and property address, matched against the roster the management company gave us
- An audio recording and a written transcript of the call
- A short summary, the subject, and what happened next
The resident roster itself comes from the management company as a scheduled export and can include names, addresses, phone numbers, email addresses, unit numbers, and account status.
Calls are recorded, and June says so
Florida is an all-party consent state. Our voice agent announces at the start of every call that it is recorded, including demonstration calls. That announcement is not optional and cannot be switched off by a customer.
If you would rather not be recorded, hang up and contact the management office directly.
What we never say out loud
Some things are withheld from the voice agent by design rather than by instruction.
If an account is flagged for collections, the agent is never given the balance or the status. It cannot read out what it was never handed. It declines and refers the caller to the office, using the same wording it uses for any account question it cannot answer, so the refusal itself does not reveal anything.
Identity checks confirm a caller is reaching the right household. They do not prove which person in that household is on the line, which is one reason sensitive account matters go to a human.
How long we keep things

De-identified is not the same as deleted, and we would rather be plain about it. At 24 months we strip the resident's name, address, phone, email and balance from a transcript and keep what is left: the community, the subject, the outcome, how long it took. That lets us see which questions residents keep asking, which is how the service improves. The stripping is permanent and we cannot reverse it.
Why an unsubscribe outlives a deletion request
If you ask us to stop emailing you, we keep a record of your address for that purpose only, permanently, and it is exempt from deletion requests.
The reason is mechanical: if we deleted it, we would no longer know not to email you, and the next list would contain you again. We keep the address and the date you opted out, nothing else.
Who else touches the data
We do not sell personal information and never have. A small number of vendors run the service, each seeing only what its job requires:
- Retell AI and its sub-processors carry the phone call and store the recording. Those sub-processors include Twilio, which provides the phone numbers and the telephony, and ElevenLabs, which produces the voice
- Anthropic writes the summary of a call from its transcript. Anthropic does not use this data to train its models and deletes it within 30 days
- Supabase hosts our database in the United States
- Vercel and Cloudflare serve the application and this website
- Resend delivers our email
This list is current as of September 2026 and we update it when it changes. We may also disclose information where the law requires it.
Cold email
We email management companies about Lobby. Those addresses come from public professional listings and company websites, never from resident data, which is not ours to use that way.
Every message carries our postal address and a one-click unsubscribe. One click is enough, and it is permanent.
Your choices
Ask us for a copy of what we hold about you, ask for it corrected, or ask for it deleted, subject to the unsubscribe carve-out above and to any records we must keep for tax or legal reasons. If you are a resident, we will usually need your management company to confirm the request, because the record is theirs.

Children
This is a service sold to businesses and it is not directed at children. We do not knowingly collect information from anyone under 13.
Changes
If we change this policy we update the date at the top. Material changes to how we handle resident data are sent to affected customers directly rather than left for you to notice.
